The UCF Information Security Office (InfoSec) wants to remind employees of the importance of securing our accounts and protecting sensitive data. The current pandemic has required significant adjustments to our lives and the way we work, and we must make sure we take all the necessary precautions to ensure we do not compromise security as a result.
Whether you are working on campus or at home, please remember to follow UCF Policy 4-008 when handling or storing UCF data. Restricted and Highly Restricted Data must be protected, as accidental disclosure can have a significant negative impact to the university.
Please refer to UCF Policy 4-008 for a complete list of sensitive data and their storage requirements: https://policies.ucf.edu/documents/4-008.pdf . As a reminder:
- Restricted Data (e.g., business-sensitive information, intellectual property, student records covered under FERPA) cannot be stored in personal cloud storage.
- Highly Restricted Data (e.g., Social Security Numbers, government identification numbers, protected health information) can only be stored in a UCF-sanctioned cloud storage system intended for Highly Restricted data.
- Be sure to review UCF Policy 4-008 so you can identify Restricted and Highly Restricted data and properly secure it;
- Always use a Virtual Private Network (VPN) connection whenever accessing sensitive UCF data while off campus;
- When using video conferencing (Teams, Zoom, etc.) be sure that you are in an area where no one can eavesdrop. If using your webcam, be sure there is no sensitive information visible behind you;
- Ensure everything on your home network, including your computer and wireless router, has the latest security updates.
